IMPORTANT

Stockman is a livestock and farm management tool designed for South African farmers, farm owners, and agricultural businesses. Your privacy and the privacy of your farm data are important to us. All farm and livestock data you enter into Stockman is stored in our secure cloud infrastructure (Google Firebase) and is accessible only to you and the team members you explicitly invite to your organisation. Your login credentials are secured using industry-standard encryption. Your farm records remain under your control at all times.

We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We process your information only when we have a valid legal reason to do so.

In what situations and with which parties do we share personal information?

How do we keep your information safe?

We have implemented platform-level encryption, secure authentication, and industry-standard security practices through Google Firebase. All data is transmitted over encrypted connections and stored securely in our cloud infrastructure.

1. WHAT INFORMATION DO WE COLLECT?

Personal information you disclose to us

In Short: We collect personal information that you provide to us for account creation and service delivery.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:

  • Email address
  • Name (for account purposes)
  • Password (encrypted)

Farm and Organisation Data (Stored in Our Secure Cloud):

  • Organisation name and details
  • Farm names and location information
  • Field names, sizes, and crop/covering information
  • Animal records (species, breed, gender, age, count, and notes)
  • Livestock loss records (deaths, lost animals, and stolen animals)
  • Team member invitations and role assignments

Team Member Information:

  • Email addresses of invited team members (managers and foremen)
  • Role assignments within your organisation

Sensitive Information. Stockman stores all farm and livestock data in our secure cloud infrastructure (Google Firebase). This data is accessible only to the account owner and team members they have explicitly invited. We do not sell, share, or use this data for any purpose other than providing the Services.

Application Data. If you use our application(s), we also may collect the following information:

  • Mobile Device Data. We automatically collect device information (such as your mobile device ID, model, and manufacturer), operating system, version information and system configuration information, device and application identification numbers, browser type and version, hardware model, Internet service provider and/or mobile carrier, and Internet Protocol (IP) address (or proxy server).

This information is primarily needed to maintain the security and operation of our application(s), for troubleshooting, and for our internal analytics and reporting purposes.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

Information automatically collected

In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you use our Services.

We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.

  • Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and which we record in log files.
  • Device Data. We collect device data such as information about your computer, phone, tablet, or other device you use to access the Services.

  • To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
  • To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service, including storing and managing your farm, field, and livestock data.
  • To enable team collaboration. We process email addresses and role information to facilitate the invitation and management of team members (managers and foremen) within your organisation.
  • To respond to user inquiries/offer support to users. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.
  • To send administrative information to you. We may process your information to send you details about our products and services, changes to our terms and conditions, and other similar information.
  • To request feedback. We may process your information when necessary to request feedback and to contact you about your use of our Services.
  • To protect our Services. We may process your information as part of our efforts to keep our Services safe and secure, including fraud monitoring and prevention.
  • To evaluate and improve our Services, products, marketing, and your experience. We may process your information when we believe it is necessary to identify usage trends, determine the effectiveness of our promotional campaigns, and to evaluate and improve our Services, products, marketing, and your experience.

3. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

We may need to share your personal information in the following situations:

  • Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
  • Service Providers. We use Google Firebase for user authentication, data storage, and app infrastructure. Firebase processes:
  • Your email address and authentication credentials (encrypted)
  • All farm, field, animal, and livestock loss data you enter into the app
  • App analytics and crash reports
  • Legal Requirements. We may disclose your information where we are legally required to do so in order to comply with applicable law, governmental requests, a judicial proceeding, court order, or legal process.

What We Do NOT Share:

  • Your farm or livestock records with any third parties
  • Your personal or team member information for marketing purposes
  • Any of your data with advertisers

4. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: We keep your information for as long as necessary to fulfil the purposes outlined in this privacy notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements).

  • Account Information: Retained for as long as your account is active, plus 90 days after account deletion request.
  • Farm and Livestock Data: Retained for as long as your account is active. Upon account deletion, your data is permanently removed from our servers within 90 days.
  • Analytics Data: Retained for up to 26 months.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymise such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

5. HOW DO WE KEEP YOUR INFORMATION SAFE?

In Short: We aim to protect your personal information through a system of organisational and technical security measures.

We have implemented appropriate and reasonable technical and organisational security measures designed to protect the security of any personal information we process. These include:

  • Firebase Security Rules: All data stored in Google Firebase is protected by security rules that restrict access to authenticated users and their authorised team members only.
  • Encrypted Transmission: All data transmitted between the app and our cloud infrastructure uses industry-standard TLS encryption.
  • Authentication Security: Password requirements enforce strong passwords. Email verification is required during registration.
  • Role-Based Access Control: Farm data is only accessible to the organisation owner and team members (managers and foremen) they have explicitly invited.
  • Platform-Level Security: We rely on Google Firebase's industry-leading security infrastructure, including regular security audits and compliance certifications.

However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorised third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

6. DO WE COLLECT INFORMATION FROM MINORS?

In Short: We do not knowingly collect data from or market to children under 18 years of age.

We do not knowingly solicit data from or market to children under 18 years of age. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. 7. WHAT ARE YOUR PRIVACY RIGHTS?

In Short: You may review, change, or terminate your account at any time.

Account Information: If you would at any time like to review or change the information in your account or terminate your account, you can:

  • Log in to your account settings and update your user account
  • Contact us using the contact information provided

Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.

Withdrawing your consent: If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us by using the contact details provided in the section 'HOW CAN YOU CONTACT US ABOUT THIS NOTICE?' below.

However, please note that this will not affect the lawfulness of the processing before its withdrawal, nor when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.

8. CONTROLS FOR DO-NOT-TRACK FEATURES

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ('DNT') feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage no uniform technology standard for recognising and implementing DNT signals has been finalised. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this privacy notice.

9. PROTECTION OF PERSONAL INFORMATION ACT (POPIA) COMPLIANCE

In Short: We are committed to complying with South Africa's Protection of Personal Information Act.

Stockman is designed with privacy-by-design principles in alignment with the Protection of Personal Information Act (POPIA) of South Africa. As a user of our Services, you have the following rights under POPIA:

  • Right to Correction: You have the right to request correction of inaccurate personal information.

11. SUBSCRIPTION AND PRICING

In Short: We reserve the right to introduce, modify, or discontinue subscription plans and pricing at any time.

Current Pricing: Stockman may offer free and/or paid subscription tiers. Current pricing is displayed within the application and on our official website.

Price Changes: We reserve the right to change subscription prices at any time, including but not limited to:

  • Introducing new subscription tiers
  • Modifying existing subscription prices (increases or decreases)
  • Changing the features included in each subscription tier
  • Converting free features to paid features
  • Discontinuing subscription plans

Notice of Price Changes: We will provide reasonable notice of any price increases through one or more of the following methods:

  • In-app notification at least 30 days before the change takes effect
  • Email notification to registered users
  • Notice posted in the application

Existing Subscriptions: For existing subscribers:

  • Price changes will take effect at the start of your next billing cycle following the notice period
  • You may cancel your subscription before the price change takes effect
  • Continued use of the Services after a price change constitutes acceptance of the new pricing

Refunds: Subscription fees are generally non-refundable except where required by applicable law or as explicitly stated in our refund policy.

Free Trial: If we offer a free trial period, we reserve the right to modify or discontinue free trials at any time. After the free trial period expires, you will be charged the applicable subscription fee unless you cancel before the trial ends.

By using our Services, you acknowledge and agree that subscription prices may change and that continued use after price changes constitutes acceptance of the new pricing terms.

  • Update your account information in Settings
  • Add, edit, or delete farms, fields, and animal records at any time
  • Remove team members from your organisation
  • Delete your organisation and all associated data

14. DISCLAIMERS AND LIMITATION OF LIABILITY

In Short: You use our Services entirely at your own risk, and we cannot be held liable for farm management decisions or data accuracy.

You acknowledge that you use Stockman entirely at your own risk. While every effort is made to ensure the functionality and accuracy of our app, we cannot guarantee error-free operation.

Farm Management Responsibility: Stockman is a tool to assist farmers and agricultural businesses in recording and managing livestock and farm data. All farming and business decisions remain the sole responsibility of the user. We do not provide agricultural, veterinary, or business advice and are not responsible for:

  • Farming decisions made based on data recorded in the app
  • Errors in livestock counts or records
  • Loss of livestock, crops, or revenue
  • Consequences arising from data inaccuracies

Third-Party Services: Our app uses third-party services (such as Firebase) for authentication and data storage. We are not responsible for any interruptions, errors, or issues caused by third-party services.

Limitation of Liability: To the maximum extent permitted by applicable law, KRIKDEX (Pty) Ltd shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, use, goodwill, or other intangible losses, resulting from your use of the Services.

15. USER CONDUCT AND INDEMNIFICATION

In Short: You agree to use our Services lawfully and to indemnify us against claims arising from your use.

Acceptable Use: You agree that your use of Stockman is for lawful purposes only and in accordance with:

  • South African law
  • Applicable agricultural regulations
  • The terms and conditions of this privacy notice

Prohibited Activities: You may not:

  • Use the Services for any unlawful purpose
  • Enter false or misleading farm or livestock data
  • Share your account credentials with unauthorised persons
  • Attempt to access farm data belonging to other users or organisations
  • Interfere with the proper functioning of the Services
  • Use the Services in any manner that could disable, overburden, or impair the Services

Indemnification: You agree to indemnify and hold KRIKDEX (Pty) Ltd, its subsidiaries, affiliates, agents, officers, employees, and content providers harmless from any claim, demand, or damage, including reasonable attorneys' fees, arising from:

  • Your use of Stockman
  • Your violation of this privacy notice
  • Your violation of any rights of a third party
  • Any farming or business decisions made using the Services
